Provide general administrative support for four senior Procurement Managers across nine countries
Own the preparation and facilitation of the monthly Significant Contracts approval meeting, with senior stakeholders and the Exec. operating board. Key activities include:
Liaising with various EAs to agree meeting schedule
Preparing agenda
Booking meeting rooms and online video links to ensure a seamless international meeting
Managing pre-read milestones
Consolidating required information for presentation decks
Facilitating pre and main meetings
Issuing next steps
Administrate Procurement events such as team meetings, training, governance updates, etc. by ensuring all are professionally organized and executed
Process all travel related administration for Procurement team members including:
Flight and hotel bookings
Travel & Visa requirements
Expenses management
Represent procurement at the upcoming 2024 office refit and refurbishment committee meetings
Support working environment and ESG improvement work streams
Manage and handle confidential documents, correspondences, records, and maintain an organized filing system.
Perform clerical duties which include document vetting, data entry, filing, etc. related to different processes in contract administration.
Do you have experience in providing business support?
Minimum 1-2 years clerical experience in a professional environment
Fluent in English and Cantonese (Verbal and written)
Mature and sharp communication skills
Service mindset and be able to work with people at different levels, both internally and externally
Strong computer literacy with excellent MS Office skills
High degree of attention to detail, numeracy and analytical skills and be a good problem solver
Pro-active, self-motivated, well-organized, efficient and ability to work under pressure
Ambition to continue to develop a career in a fast-paced muti national company
Able to work independently and complete the given tasks punctually
